Getting started as an event partner

For event organizers running shows, performances, festivals, scheduled tours and workshops, and for event service providers: planners, venues, caterers, decorators, photographers and more. Listing is free, and you can be live today.

Ready when you are

Register in about five minutes, then add what you offer one at a time or all at once by spreadsheet.

Three ways to add your events

They all end in the same place and are checked by the same rules, so use whichever suits how your prices already exist. Mix them freely.

1. One at a time, in your portal

Best for a handful, or your first one. Open your portal, choose Add listing, and fill the form. Your currency is already set from your country, so an Indian partner sees rupees and a Portuguese one euros.

Six answers are required: name, kind, description, price, currency and where it is. Everything else sits under More details and is optional.

Saving does not publish it. It is saved as a draft that only you can see. Open the preview, read it through as a traveller would, fix anything wrong, and press publish when you are happy. You can edit or remove it at any point, before or after.

2. Many at once, by spreadsheet

Best for a full tariff. Download the template below, fill it in Excel, and upload it under Add many at once. The columns are in the same order as the form, required ones first, so you can fill the left hand columns and stop.

Re-uploading a corrected sheet updates what we hold. Change a price and send the same file again: we update that row and record the change, rather than creating a second event or ignoring you. An unchanged row is reported as unchanged.

A bad row never costs you the file. Each is checked on its own and any failure comes back with its spreadsheet row number.

3. Upload your own rate card, brochure or price list

Best if your prices already live in a document rather than our template. Go to your portal, open Upload your own rate card, brochure or price list, choose the file or paste the link, and we read it while you wait. PDF, Word, Excel, CSV and the address of a page on your own site all work. There is nothing to email and nothing to reformat first.

Nothing we read goes live until you approve it. Every row lands in your portal awaiting your approval: invisible to travellers, visible to you, with the document it came from named beside it. Read it back against your own rates, correct anything wrong, then confirm.

We will not publish a trade rate. If your document carries STO, net, trade or agent rates we read everything else and leave the prices blank on purpose, then ask you for the price a guest actually pays.

Your team manages your events. Add, edit, deactivate and delete your own products whenever you like, without going through us. Every change is recorded with who made it and when, and you can see that history yourself. Ask and we will walk whoever manages them through the first upload on a call. Get in touch.

What to list

  • One row per event or per repeating programme, not one row per date.
  • A run of the same show goes in one row with the pattern in the schedule column, for example Tue and Thu evenings.
  • Seasonal events belong here too. Write the season in the schedule, for example seasonal, May to Sep.
  • Free events are welcome. Put 0 in ticket_price_from and travelers see it as free.
  • Event service providers list what they offer the same way: a full day of wedding photography, a banquet hall, a catering menu. One row per service, with the service_type column saying what kind of provider you are.

The columns that matter

Every template starts with title, description, currency, destination, image_url and tags. These are the columns specific to this guide.

event_type
One of show, performance, festival, tour, workshop. Service providers can leave it blank and fill service_type instead.
service_type
For event service providers: planner, venue, caterer, decorator, rentals, dj_entertainment, photographer, cake, makeup, transportation, accommodation, av_lighting, security, or other. Anything else you write is kept as a tag in your own words. Organizers of shows and festivals leave it blank.
ticket_price_from
The cheapest ticket. 0 for a free event. Service providers can leave it blank; blank on a service row means no published price, not free.
duration_hours
How long it runs. 1.5 and 90 min both work.
venue
Where it happens, with the street if it helps someone find it. It becomes a Venue line on the listing.
schedule
Free text in your own words: Tue and Thu evenings, daily except Sunday, seasonal May to Sep.
destination
The city travelers search for, for example Seville.
neighborhood
Optional: the area or district, for example Triana. Kept separate from the city so travelers see both, as in Triana, Seville.

Column names are matched without regard to case or order, so you can rearrange them and common alternatives are understood. Download the template

Notes that matter

  • The schedule column is deliberately free text: Most events do not fit a single start time, and a made up date is worse than a plain sentence. Write the pattern the way you would tell a caller on the phone.
  • Keep dated events current: A festival that finished last season costs you nothing to update and costs us trust if it stays up. Email us or edit it in your portal when the run ends.
  • Service providers power planned events: When TravelVulture plans a private event, a wedding, a corporate event, a reunion, providers with current listings are who we draw on. Same referral terms as every partner: free to start, then a small success fee only on bookings we actually send you.

After you upload

Uploaded events land as drafts only you can see. Open Preview on each one and press Publish when it reads right; nothing is public until you do.

The portal tells you how many rows were added, which rows need fixing and why, and which cities we could not match yet. One bad row never stops the rest of the file, and re-uploading a corrected file is safe. If you did not give a website at registration, the upload form asks for it, so we can show who your listings and prices come from.

Your own numbers

Your dashboard shows how many travelers saw your listings, clicked through and got in touch. Only your numbers, nobody else's. Read how the dashboard works

Our pledge, and what we ask back

We are not trying to build a business by taking a large cut of yours. Our aim is to keep our own costs low and to give local operators a real presence online without compromising their income, so that the money a traveller spends mostly stays with the people who actually deliver the trip.

That is why there is no listing fee, why the success fee is small and applies only when a traveller we sent actually books, and why your own confirmation is what we calculate it from. We keep a record of the enquiries we send you, so on the rare occasion something does not line up we can look at it together rather than assume.

It is a pledge on our side, and we ask for the same honesty in return. That is the whole arrangement, and it is worth more to both of us than any single booking.
